How to share

  1. Open the Software or Vendor page you want to share.
  2. Click the Share button on the top right.
  3. Add people by typing a name or email.
    1. If the user is in BRM, select their name and optionally add a note.
    2. If the person is not in BRM, select Invite and enter their email and name.
    3. Only people without permissions will appear. If someone in your org already has access, they will not show up in the dropdown.
  4. Enhance permissions by selecting one or more data types, such as Compliance, Finance, IT, or Legal. These permissions apply only to this Software or Vendor page.
  5. Select Invite to send enhanced permissions.
  6. After sharing, click the Share button to manage access. Super Admins, Admins or Owners can see who has access, check permissions, and adjust or remove them as needed.

FAQs

  • Who can share page level data?
    Vendor or Software page owners and BRM Super Admins and Admins.
  • Can I share with someone who is not in BRM?
    Yes. Use the Share modal, enter their email and name, and they’ll get an invite. After signing up, they’ll have enhanced permissions to the page you shared.
  • Can I add a user for only one page and keep them out of the rest of BRM?
    No. Inviting creates an org-wide BRM user, though page-level permissions apply only to that page. To adjust org-wide access, go to Settings > Users.
  • Can I share only a subset of documents or fields?
    No. Sharing gives access to all data pertaining to that permission on that Software or Vendor page, including existing content. For example, you cannot share only “SOC 2 Status” for a software—you must share all compliance data.
  • How does Ask AI respect permissions?
    AI only answers questions you have permission for. For example, if you have Finance data but not IT data, it will only respond using Finance data. It automatically checks your enhanced permissions per each Software and Vendor before interacting.
  • Does Vendor access apply to all Softwares for that Vendor?
    No. Vendor permissions are specific to that Vendor. Software permissions must be set separately.
  • Does page level sharing override org wide roles?
    No. Org-wide roles stay in place.  You cannot remove or downgrade a user’s org-wide role from a page
  • **What if I want to change a users org wide data permission?  **Update org-wide roles in Settings > Users. Page-level changes do not override org-wide roles.
